Most PF rejections are completely fixable. The trick isn't fighting the system — it's knowing which specific document or correction EPFO is actually waiting for. I've resolved hundreds of these. Here's what works.
Check your rejection notice or EPFO portal for the error code. Here are the most common reasons — and whether they're fixable.
Your name in EPFO records doesn't match Aadhaar exactly (middle name, initials, spelling). The most common reason. ✓ Fixable via Joint Declaration
Bank details entered don't match what's on your passbook, or the account is inactive or closed. ✓ Update on UAN portal
Your ex-employer hasn't digitally signed off on the claim. Can be bypassed in some cases. ✓ EPFiGMS escalation path
Two employers have overlapping dates in EPFO records — blocks all claims until corrected. ✓ Joint declaration + field office
If you're withdrawing within 5 years of service and haven't submitted Form 15G (tax declaration), the claim is held. ✓ Resubmit with 15G
UAN not linked to Aadhaar or Aadhaar not verified by employer. Required for online claims. ✓ Employer e-KYC update
The exact sequence I use on every rejection case. Follow it in order — skipping a step is how clocks get reset.
Log into your UAN member portal (unifiedportal-mem.epfindia.gov.in) → Claim Status. Look for the rejection reason in your claim history. Write down the exact error message — this determines everything that follows.
Download the Joint Declaration form from the EPFO website. Both you and your current/last employer must sign it. Submit to your regional EPFO office (or digitally if your office supports it). The official process for name corrections — usually 10–15 days.
Go to UAN portal → Manage → KYC → Bank. Add your correct account number and IFSC. Your employer must then approve this KYC update (usually within 2–3 working days). Once approved, you can refile.
Once your corrections show “Approved” in the UAN portal, go to Online Services → Claim (Form-31, 19, 10C). Select the appropriate form and submit. The claim should proceed without rejection this time.
Go to epfigms.gov.in and file a grievance with your UAN, rejection details, and documentary proof. This creates an official complaint that EPFO must respond to within 30 days. Many cases that seem stuck get resolved through this path.
