Check your rejection notice or EPFO portal for the error code. Here are the most common reasons — and whether they're fixable.


🤳 KYC mismatch — name difference

Your name in EPFO records doesn't match Aadhaar exactly (middle name, initials, spelling). The most common reason. ✓ Fixable via Joint Declaration

🏦 Wrong bank account / IFSC

Bank details entered don't match what's on your passbook, or the account is inactive or closed. ✓ Update on UAN portal

👥 Employer hasn't approved

Your ex-employer hasn't digitally signed off on the claim. Can be bypassed in some cases. ✓ EPFiGMS escalation path

⚠️ Service period overlap

Two employers have overlapping dates in EPFO records — blocks all claims until corrected. ✓ Joint declaration + field office

📝 Form 15G not submitted

If you're withdrawing within 5 years of service and haven't submitted Form 15G (tax declaration), the claim is held. ✓ Resubmit with 15G

🔑 UAN not activated or Aadhaar not linked

How to fix a rejected PF claim — step by step

The exact sequence I use on every rejection case. Follow it in order — skipping a step is how clocks get reset.

Identify the exact rejection reason

Log into your UAN member portal (unifiedportal-mem.epfindia.gov.in) → Claim Status. Look for the rejection reason in your claim history. Write down the exact error message — this determines everything that follows.

For KYC mismatch: file a Joint Declaration

Download the Joint Declaration form from the EPFO website. Both you and your current/last employer must sign it. Submit to your regional EPFO office (or digitally if your office supports it). The official process for name corrections — usually 10–15 days.

For bank issues: update via UAN portal

Go to UAN portal → Manage → KYC → Bank. Add your correct account number and IFSC. Your employer must then approve this KYC update (usually within 2–3 working days). Once approved, you can refile.

Refile the claim after corrections are approved

Once your corrections show “Approved” in the UAN portal, go to Online Services → Claim (Form-31, 19, 10C). Select the appropriate form and submit. The claim should proceed without rejection this time.

If still rejected: file EPFiGMS grievance

Go to epfigms.gov.in and file a grievance with your UAN, rejection details, and documentary proof. This creates an official complaint that EPFO must respond to within 30 days. Many cases that seem stuck get resolved through this path.

Common questions on rejected PF claims

Does a rejected claim affect my future claims? +
No. A rejected claim does not permanently block your PF. Once the underlying issue is corrected, you can refile. Repeated rejections only delay the process — so it's best to fix the root cause before resubmitting.
How long does it take after my claim is accepted? +
After EPFO accepts a claim, settlement typically takes 7–20 working days. You'll receive an SMS on your registered mobile when payment is processed. Check your bank account and UAN passbook for the credit.
My employer is not signing the Joint Declaration. What do I do? +
If your employer is inactive or unresponsive, file an EPFiGMS grievance explaining the situation and requesting an ex-parte correction. EPFO can in some cases accept individual member corrections with sufficient documentary proof (Aadhaar + PAN + salary slips showing the correct name).
Can I file a PF claim if the company has shut down? +
Yes. For closed or defunct companies, EPFO has an ex-parte approval process where the member's claim can be settled without employer involvement. You'll need to provide proof of closure (ROC records, news articles, or a written EPFO request). I handle these regularly.
