Follow up with HR directly first

A simple, polite written follow-up (email, not just a call) resolves this a large share of the time — genuine backlogs are common.

Give it a reasonable window

2–3 weeks of no response after a clear follow-up is a fair point to move to escalation — don't wait months.

File an EPFiGMS grievance

Go to epfigms.gov.in with your UAN, claim details, and a summary of your follow-up attempts. This creates an official record EPFO must act on.

Attach employment proof

Offer letter, salary slips, Form 16, or any document proving your employment — strengthens an ex-parte case if the employer stays silent.

Track the grievance and follow up

EPFO must respond within 30 days. If it goes quiet, a second follow-up referencing the grievance number usually moves it.

Can my claim ever move forward without my employer approving it? +
Yes, in genuine cases. If the employer is closed, unresponsive, or refusing without valid reason, EPFO's Regional Office can process an ex-parte approval based on documentary proof of your employment and the employer's non-response.
How long should I wait before escalating? +

What if the company has completely shut down? +
