This is the single most common EPFO rejection reason, and it isn't a real problem with your claim — it's a text-matching failure between two records that were created separately and never designed to match perfectly.
Your Aadhaar name and your EPFO/employer record were entered independently, at different times, by different people. Any of these creates a mismatch:
Your employer record has your full name, Aadhaar has only first + last (or vice versa). ✓ Fixable via Joint Declaration
"K. Shobhit" in one record, "Kumar Shobhit" in the other. A very common HR-entry variation. ✓ Fixable via Joint Declaration
A transliteration or typing difference between Aadhaar and employer records — even one letter counts. ✓ Fixable via Joint Declaration
Updated on Aadhaar but never updated with the employer or on older EPFO records. ✓ Fixable with gazette/marriage proof
Surname-first on one record, given-name-first on the other — common with older employer entries. ✓ Fixable via Joint Declaration
A one-time data-entry error when you joined that was never corrected. ✓ Fixable via Joint Declaration
The exact sequence for this specific rejection reason.
Log into your UAN member portal → Claim Status and read the exact rejection text. Name mismatches are usually stated plainly — write down the wording.
Line up your Aadhaar, PAN, and EPFO/UAN records side by side. Note the exact difference — this determines what the Joint Declaration needs to state.
Download the Joint Declaration form. Both you and your current/last employer sign it, stating the correct name and the reason for correction.
Aadhaar, PAN, and — if your name legally changed — a gazette notification or marriage certificate. More proof means fewer follow-up queries.
Once the correction shows "Approved" in the UAN portal, refile your claim (Form-31, 19, or 10C). It should proceed without the same rejection.
