PF record remediation, in plain terms
A normal payroll or compliance vendor is generally accountable for this month's filing being correct. They are not usually accountable for a record error that happened years ago and simply never surfaced — until a transfer fails, a background check flags a false overlap, or an employee's claim gets rejected over a mismatch that traces back to your establishment's record.
Record remediation is the separate work of finding those exceptions, establishing the correct EPFO route for each one, preparing the documentation, and following up until there is a resolution — or a clear, documented reason there cannot be one yet.

Problem
A candidate had multiple PF Member IDs under the same UAN. During BGV, different Member IDs showed different DOJ/DOE information, creating an apparently inconsistent employment history.
What I did
Mapped the candidate's complete service history across all three employers, then compared UAN service history, Member IDs, DOJ, DOE, employment documents, and actual joining/leaving dates to identify the inconsistent entries. Where employer records were incorrect, the candidate was guided to approach the relevant employer for correction and follow the appropriate EPFO process.
Outcome
The candidate obtained a clearer and more consistent employment record. Lesson: Multiple Member IDs under one UAN can make BGV complicated when DOJ/DOE information is inconsistent across them.
How is this different from our monthly PF filing vendor?
A monthly filing vendor is generally accountable for this month's ECR going in correctly. Record remediation deals with what is already wrong in the historical record — a KYC mismatch from three years ago, a duplicate UAN, an exit that was never marked. Those don't get fixed by filing correctly going forward; they need to be found and actioned separately. I work alongside your existing payroll or compliance vendor rather than replacing them.
Can you guarantee EPFO will accept the correction?
No — and no one honestly can. Corrections are reviewed and approved by EPFO through its own process. What I do is prepare the documentation correctly, submit through the right route for that exception type, and follow up until there is a resolution or a clear reason there cannot be one. I tell you the likely route and realistic timeline for your specific case rather than promising an outcome.
Do you need our employees' UAN passwords or OTPs?
No, and I will never ask for them. Employee-side portal actions (like Aadhaar OTP verification on a joint declaration) are performed by the employee themselves. My work is preparing the correct documentation and route, and following up on the employer side.
What if we only have one or two employees with record problems, not a bulk issue?
Record remediation applies whether it's one exception or a few hundred found in a bulk sweep. The process is the same — identify the exception type, establish the correct route, prepare documentation, submit and track.
